* Distinguish presentations from activities. List them and schedule them separately. probably don't need to do this, one signin sheet just lists all the available resources along one axis, and time along another. you've either got a resource (like a room/area) or not. * Publicity. Brian Oberkirch is handling this. If you have some ideas email him ASAP brian @ weblogswork.com * T-Shirts - Alex is handling this, but he needs the logos of all the sponsors by the 16th to get on the shirts. cks: just to confirm, these order is in and this is no longer an isssue? * Eric is bringing the projector and 50 cokes, 50 diet cokes and 50 sprites. Do we need beer? alex's: * Sign-in Booth (someone to get name tags, give out shirts and man the table for a little while) jay volunteers to be at the sign-in booth. (it's an all-day job, so having two people do it might be good) * Someone to set up an IRC chat session, iChat video feed and a recording of the events (i.e. For a podcast). (I have mics, stands and a mixer just need a sound guy) * Agenda (someone to set it up broadly perhaps we should get on a con call next week Monday?; I assume that we will carve out the day and leave holes for demos and presentations the presentation slots can be filled the sign in booth if there are any openings the day of). * Someone to bring an extra projector (we have three for the main room need one for the smaller break out room). eric molitor volunteers to bring another projector * If you want to include you logo on the Barcamp shirt send it to me before lunch on Monday. * Someone to bring snacks for 25-75 people (what snacks?) * Someone to bring cokes for 25-75 people (we have refrigeration) eric molitor volunteers to bring cokes, mentions coke, diet-coke, and sprite. cks:dr. pepper and red bull are good too, see below for possibly getting red bull to just give us some. * Someone to cater dinner (I think someone has Pure Discovery make sure it has been ordered I can order if necessary, but would prefer someone else do so also, make sure the count is right i.e. Have enough food) brian: * place for people to drop off stuff * powerstrips * lost/found area chris's: * make sure there is lots of bottled water. worth over-stocking. same goes for coffee. coffee is very, very important. see above. * apple notebook video dongle collection is a "nice to have" * backchannel ** for irc backchannel on freenode, must notify several hours in advance. we should probably make a small donation to their fund drive. good to announce the backchannel in advance (so people can make sure their irc client works) and in the "guide". ** people were trying to use SubEthaEdit (SEE) at BarCampNYC, but since not everybody had the software, and it wasn't announced in advance, it didn't work out as well as it could have. difference was between "chat" over irc and a collabortive document via see, which would have been cool. also platform isssues? * set up the rooms so it's easy to enter/leave during the middle of a presentation without making a big deal of it. * post the "law of two feet" * need a "guide to barcamp" email in advance (or at the door), with hints on how to get the most out of the event. (like "just walk up and talk to people, it's ok", and "make a list of people you want to meet in advance, it's very confusing once you get there", etc) need a volunteer to collect ideas and write them up. * the overnight (or at least late night) thing might be important. discuss ways to get the advantages without the logistical issues (or is it ok to stay until dawn?) * setting up the recording apparatus in advance is important, doing it day-of looked difficult. there are a whole raft of issues around this. * check out red bull as a sponsor * suggestion for food : cap the dollar amount, if it runs out, it runs out. that will work as long as it's clearly communicated, and much reduces sponsor risk. * ask for donation at the door? * make sure there are enough outlets, power strips, etc. at each planned congregation point. make sure that suspected unplanned congregation points have at least an extension cord and a power strip. * the wireless was flakey under load, especially the second day. assign a particular individual to keep it running. it's potentially an all-day job, but not having net access was bad. * need a cow bell, bullhorn, or something for announcements in the common area. it gets loud, and people in the midddle of an interesting conversation don't want to stop. * we could use volunteers that are "documenters". their only job is to take notes in presentations, make sure the recorder is on, whatever. it gets very confusing day-of, so best to have those people in advance (or have a special signup sheet for them day-of, with a clear explanation of their responsibilities) * serve modular food (sandwiches, pizza, etc), instead of anything that requires even the slightest bit of preparation. the lunch was delicious, but the line was slow and it ate into presentation time. * don't schedule half sessions against full sessions. not always possible, but should arrange the schedule board so that it's obvious which are the longer and which are the shorter time slots. ==== Completed * Logo [digital swag SpreadBarCampDallas].
